The vendor guide

Everything from signing up to getting paid. Ten minutes to set up once; after that it’s apply, turn up, check in.

Create a vendor accountSign in

1. Create your vendor account

From the home page choose Vendors → Apply as a vendor. Tell us your business name and what kind of vendor you are — coffee, food & drink, MC, photographer, videographer, entertainment, PT or massage. Tick anything else you offer too: it decides which pitches you’re shown, so a coffee van never has to scroll past MC slots.

Timing, medical, barriers, PA, toilets, traffic management and lead motos aren’t vendor pitches — they’re event services, booked directly by the vendor team. If that’s your business, get in touch with the team rather than applying here.

Add your contact name, email, mobile (pick your country code first), a password, your business address (any country) and the regions you work in. Say whether you’re VAT registered and, if you are, your VAT number.

  • Food and drink vendors upload their food hygiene certificate.
  • Everyone else uploads a CV or pastes a link to their work — LinkedIn, a website or Instagram.

2. Read and sign the vendor agreement

The full RunThrough Vendor Onboarding Agreement is on the sign-up form, every page of it. Scroll through to the end (or open the PDF), tick to say you agree, and type your full name — that’s your signature. Your signed copy is saved to your profile, where you can download it any time. You can read the agreement here first.

3. Confirm your email

We email you a link as soon as you sign up. Click it and your account is active straight away — it opens your profile. Can’t see it? Check your spam folder, or sign in and press Send it again. It’s fine to open the link on your phone even if you signed up on a computer.

4. Signing in

Use your email and password on the sign-in page. Forgotten it? Press Forgot password? and we’ll email you a link to set a new one. You can also ask for a one-off sign-in link by email instead.

5. Finish your profile

Before you can apply for a pitch your profile has to be complete — everything marked with a red *. Your Profile tab shows a checklist of what’s left:

  • business name, what you do, mobile, address and regions
  • VAT registered — yes or no (and your number if yes)
  • the signed vendor agreement
  • public liability insurance, uploaded on the Documents tab (with its expiry date — we’ll remind you before it runs out)
  • your food hygiene certificate (food and drink) or a CV / link to your work (everyone else)
  • your payment details — a UK account (sort code and account number) or an international one: IBAN and BIC/SWIFT, a US routing number, an Australian BSB, or a SWIFT code and account number anywhere else

6. Find pitches and apply

Browse shifts lists the open pitches for what you do in your regions — once a pitch is filled it drops off the list. Filter by search (event, venue or town), region, month and type. View event opens the event’s page on runthrough.co.uk, and tapping an address opens it in your maps app. Press Apply — the vendor team confirms who gets each pitch and you’ll get an email either way.

7. Offers and invitations

The vendor team may book you straight onto a pitch, offer you one, or send you a link to an invite-only event. Offers appear on your Upcoming tab and by email — accept or decline in one press. If you can’t make something you accepted, use Can’t make it as early as you can (the agreement explains the cancellation terms).

8. Your price

Your agreed rate is on your profile, and each booking shows its agreed price. Need to change either? Press Request a new rate (or Change price on a booking) and say why. The vendor team approves or declines it — until then the agreed price stands and no invoice is raised at the new price. If you’re VAT registered, VAT at 20% is added on top of the agreed price on your invoice.

9. Messages

Everything we send you is in your Messages tab. Press New message to write to the vendor team about your account or a booking, and reply to any conversation there — or just reply to our emails.

10. On the day: check in with the code

When you arrive and you’re set up, ask the RunThrough team on site for today’s check-in code. Open your portal — the check-in box is at the top of Upcoming on event day — type the code, tick I’m on site and set up and press Check in. That’s it: you’re marked attended and your invoice is raised.

11. Invoices and getting paid

You don’t write invoices — checking in raises one for you, under Invoices, as a PDF you can download. It’s addressed to GWActive Ltd, Unit 6 - Leylands House, Molesey Road, Walton-on-Thames, KT12 3PW, and carries your business details, your bank details, the event and the agreed price (plus VAT if you’re registered).

The vendor team approves it and it’s paid within 30 days — payment runs are on Tuesdays. If there’s a question about an invoice the team emails you and it comes off your list while it’s sorted out.

Stuck? Message the vendor team from your portal, or email northvendors@runthrough.co.uk (North & Midlands) or southvendors@runthrough.co.uk (South).
